FleetCollect, a trucking-compliance software platform serving owner-operators and small fleets across all 50 states, has unveiled an IFTA audit-readiness resource designed to help drivers prepare for state fuel-tax audits. The tool includes a downloadable guide explaining what auditors require and pairs it with an iPhone app that automatically captures the necessary records.
The app logs state-by-state mileage and fuel purchases in the background and exports them in spreadsheet formats auditors accept, including XLS, XLSX, and CSV. This is significant because every IFTA jurisdiction is required to audit roughly 3% of its licensed accounts each year, and many accounts are selected at random. As a result, an operator can be audited without having done anything wrong. Carriers must retain distance and fuel records for four years, which is also how far back an audit can reach.
For drivers using paper logs and a shoebox of receipts, reconstructing a year of travel on demand is challenging. The issue is rarely whether the miles were driven, but whether the operator can prove where they were driven. FleetCollect addresses this by recording a continuous GPS breadcrumb for every trip and assigning each mile to the correct jurisdiction using high-resolution state-line detection. Distances are computed from the GPS track, providing a timestamped record of dates, coordinates, route, total distance, distance by jurisdiction, and vehicle unit number — the core elements an auditor requests for GPS-based records.
Fuel logging is simplified: drivers add a fuel stop in seconds, capturing the date, station, gallons, price, and the state that earns the tax credit. A photo of the receipt is stored with the entry, ensuring the seller's address and fuel type are documented. From any quarter or date range, the app generates a CSV summary, a multi-sheet XLSX workbook with jurisdiction totals, a trip log, a per-vehicle breakdown, and raw GPS points, plus a PDF summary. These records can be used for quarterly IFTA returns and handed directly to an auditor.
